Get the Most from your Office Cleaning Company…

Like any relationship there are many phases and each one is important in the overall success.  This is also true for the relationship between a Facility/Property Manager and it’s contractors! 

  • Communication is the key to any successful relationship and is equally critical when a property manager and a contractor engage in a business relationship.  With technology helping make business more efficient it also allows for real time communication.  Prior to committing business to a contractor be sure to have a specific and successful line of communication established.  This could come in the form of activity reports, weekly update via email or text or an internal reporting protocol.

HINT:  If you have difficulty reaching your potential contractor during the screening process then think carefully how it would be when you have an immediate need to communicate.

  • Proper screening and paperwork should be completed prior to work being started.  This is probably the least fun but often time the most neglected part of the partnership process.  Be sure to incorporate each of the steps below prior to contract start.
  • All insurance and workers comp certificates completed and submitted to compliance officer.
  • A minimum of 5 professional references to include size of project, annual billing for project, project manager contact information.

HINT: Be sure the scope of work performed is consistent with the needs of your project and that the experience is varied.

  • Due Diligence
    • Complete a thorough background check consistent with industry standards and ensure there is a drug free workplace policy in place.
    • Collect copies of all required business licenses, permits and certifications to remain compliant with state, city and county regulations.
    • Collect a copy of the W9 form
    • Copy of MSD sheets for any products that will be used during projects.
    • Experience within the industry.  It is easy to look big and established via a good website and a well designed business card.  Perform the appropriate due diligence like you would starting any relationship and be sure the company you are partnering with is established and has a good reputation for quality and service.

HINT:  Checking the Better Business Bureau is a good start.

    • Don’t underestimate the power of good accounting.  Asking for a contractor’s financial docs may be uncomfortable but think about the project and the amount of payroll, products, equipment and financial overhead the contractor will have to manage in order to complete your project.  Be sure the company is financially sound prior to partnering which will reduce the risk of a performance gap.

Once you have done your due diligence and have found the contractor to be a good fit for your organization be sure to lay out all expectations clearly and in writing so that everyone is on the same page.  This way if disputes occur down the road you have a signed agreement with expectation detailed and agreed upon between your organization and the contracting company.   Just like any relationship, if nurtured can be an extremely productive partnership!
