10 Tips on how to keep your Best Tenants!

Rental turnover and vacancies costs time, money and potential problems with neighbors. And who wants that?

It is easier and more cost effective to try to keep the best tenants for as long as possible. We researched many resources and put together a three part  Tenant Retention Program  that has worked for many property managers across the country!

Tenant Loyalty

• Rent Discount Vouchers if they pay on time for the first 6 months. You don’t have to give away the bank but a $5-$10 discount acknowledges there efforts in paying on time!  There are countless online offers for free 100 business cards that you can design yourself!

• Each year at the holidays send a special gift. Nothing too extravagant but a lily or poinsettia during the holidays is a great low cost feel good for your best tenants!

• Make notice of tenants life changes.  A quick card to say Happy Birthday or a sympathy card for those suffering a loss.  Don’t forget baby cards, anniversaries or even something like “Love the New Ride” if notice a new car.  Tenants will feel connected.

• Keep up the property so you and your tenants can have pride in their homes!  This means keeping clubhouse clutter free and smelling fresh, pool area straightened and welcoming and of course the grounds litter free and maintained!

• If they renewed their lease, in the 18th month of residing on property you can send them out a company/resident T-Shirt you designed and get free using Vistaprint.

 

Of course you want to connect with each of your tenants but not cross that important line of friendship as you know the importance of maintaining a professional relationship! These connections will help foster loyalty to you and your property.

Tenant Notification

• Provide a lock-in early discount on lease renewals if signed 60-90 days in advance.

• If possible send out a renewal “addendum” that extends the lease on file and not the entire 15 page document. Don’t want to overwhelm them with paper work

• Be sure to give plenty of notice for upcoming disruptions due to service. For example, a quick note reminding all tenant with a pressure washing schedule one month in advance with recommendations on how to prepare will be much appreciated.

• Get Feedback!  Pick a time of the year you are least busy and send out a survey.  This will give you valuable info on how your tenants are feeling!  Only expect a 25-30% return.  Be sure to ask about space needs for the upcoming year…you never know when a family might expand or need to pull back due to shifts in employment.
